General Terms and Conditions

 

General terms and conditions for registration at the 31st International Congress of German Ophthalmic Surgeons to be held from June 14th to 16th 2018 in the Nuremberg Convention Centre, NCC Ost.

 

I. Registration

1. General information

Binding registration is possible until June 4th 2018, either online or by returning the registration form (by post, fax or e-mail). Thereafter, registration is only possible at the Convention Centre.

Please send us a separate application form for each participant registering.

Registration is legally binding.

In the case of events with a limited number of participants, registrations will be dealt with in the order in which they are received.

Please note that the address stated at the time of your registration will be used for sending all relevant documents for participation (reservation confirmation/ invoice, sending participants’ documentation, etc.). Correct registration requires that you state your complete address, telephone number and e-mail address.

2. Confirmation of reservation/ registration

In the event of a successful registration via the organiser's website, you will receive an automatically generated confirmation by e-mail detailing the items you have booked. Your registration will still be legally binding even should you not receive confirmation of your registration! Verbal agreements must be confirmed by MCN in writing in order to be valid.

You will receive a binding confirmation of your reservation including the invoice by post within two weeks of your registration having been received. Please get in touch with us directly (tel.: 0911/39316-25, fax: 0911/39316-20) should you not have received confirmation of your reservation within three weeks of registration.

3. Change of bookings

Changes to booking must be made in writing and must be confirmed by MCN. You are asked to send changes in bookings to us by e-mail or by using the present application form. If already known, please let us have your individual participant number. Until 23rd April.2018 changing bookings may be changed free of charge. Thereafter, the rules stated under “IV. Cancellation by the participant” will apply.

4. Overlapping of events etc.

Before sending your registration to MCN, please check for possible overlapping of courses, seminars etc. Please note that it is not possible to certify programme items that overlap. By overlapping courses only one programme item can be certified. The participant submitting the registration is responsible for the selection of courses.

 

II. Participants’ passes

1.Dispatch of the congress documentation

The participants’ passes will be sent to you beforehand, roughly two weeks prior to the congress, providing registration has been made and payment received. Should registration and/or payment be made later, it will no longer be possible to send the passes. The passes will then be available to be picked up at the conference office at the Convention Centre. On having received your documents, you are requested to check immediately that they are complete and correct. You will find information and data on changed or subsequent bookings under “I. Registration”.

We would like to point out that a processing fee of € 20.00 will be charged should you forget your pass or should a new pass have to be issued at the congress itself .

2. Information on data protection

Participants' name badges will receive a data-matrix-code that shows the following data on the participant concerned (participant number, title, given name, family name, address, e-mail address) in coded form. These codes can be read at the conference booth by using a scanner. This service is intended to ease follow-up work by the exhibiting companies after the congress and improve the flow of information, also in the interest of the participants at the congress. Please support the best possible dialogue between the participants and industry!

Please make the data-matrix-code unrecognisable should you not be in agreement that data is recorded.

 

III. Entry fees and payment

1. “Early-bird” rebate/prices prior to the deadline

In order to claim the prices for making reservations early, when paying by SEPA direct debit (only possible on bank transactions within Germany) or by credit card, we must receive the registration, including all the required information, by 23rd April 2018.

Please note that should payment be received later, the higher fees, without a rebate, will automatically be charged to your account. Please remember that the entry fee will be automatically increased after the deadline (payments received from 24th April 2018)!

Should payment be made by debit transfer, the date on which the payment is received on the business account stated is key in obtaining the rebate. Should payment be received later than the date stated, the difference will be demanded.

2. Permitted methods of payment

Entry fees can be deducted from your bank account or credit card account (Eurocard/Mastercard, Visa). The SEPA direct debit procedure is only possible for transactions within Germany. In order to pay by direct debit, you must grant MCN AG a blanket mandate for this congress. Should you not use the direct debit procedure, please pay by transfer (free of charges) to the following account:

3. Note on transfers

In order to allocate your payment more easily, please do not make the transfer until you have receive confirmation of your reservation or an invoice. Transfers must be made individually by participant and must state the purpose of the transfer referred to above.

Moreover, the name on the registration form must agree with the name stated as the purpose on the transfer.

 

IV. Cancellation by the participant

1. General information on cancellation

Cancellation of your participation must be in writing and must be sent to the above address (by post, fax or e-mail). Complete cancellation requires that all the participant’s documents (passes, entry tickets to courses, day vouchers etc.) are returned following your written cancellation at the latest by 4th June 2018.

2. Cancellation and processing fees

A lump-sum processing fee of € 20.00 will charged in the case of cancellation by 4th June 2018, thereafter the full entry fee will be owed, even in the event of non-participation using the day or permanent pass.

Due to the limited number of participants, fees for events with a separate entry fees (e.g. courses, seminars, symposia, wetlabs, workshops, forums, framework programme) will not be refunded, unless the participant is able to prove that no costs, or lower costs, were incurred as a result of the cancellation.

 

V. Exclusion of liability, also with regard to the organisation of the event

1. General information

Unless the law stipulates additional mandatory liability, our liability is generally and irrespective of the legal reason limited to gross negligence and deliberate intent.

2. Number of places on courses and allocation of places

The space available in the premises allocated entails a limitation on participant numbers. With the exception of seminars, courses, symposia, wet-labs, forums, workshops etc. that have to be booked separately and in spite of considerable efforts to plan accordingly, it cannot be excluded that individual event items, that can be attended with a day or permanent pass, might be fully occupied. A legal right to admission or to a reduction in the entry fees as well as any additional claims is excluded.

3. Note on punctual attendance and starting and finishing times

We also draw attention to the fact that events, particularly wet-labs, will start on time. You are asked to appear punctually at the start of the course. Participants who are not present in the room where the course is taking place within ten minutes of the beginning of the course will not be entitled to participate.

Since the smooth progress of the course (preparation or introduction etc.) requires punctual attendance and is necessary in order to convey the planned course contents together with the relevant practical exercises, a legal right to participation or to later admission to the room where the course is taking place or to a reduction or refund of entry fees or any other claims is excluded.

4. Relocation or cancellation of programme items

The organiser reserves the right to change the time or the location of events or parts thereof (seminars, courses, symposia, wet-labs, forums, workshops etc.) or to change or completely cancel individual programme items. This will not entitle the participant to cancel participations. Any rights to compensation as a result are excluded.

The current event programme is available online on the website www.doc-nuernberg.de until a week prior to the beginning of the event. Any subsequent changes will be announced at the congress itself.

5. Liability for the contents of talks and courses

The organiser is also not liable for the presence of the speakers announced. Should a speaker not appear, the participant will not be entitled to cancel or to any kind of compensation. The organiser will endeavour to remedy the situation through an adequate replacement. The latest situation regarding speakers may be obtained from the online publication up to one week prior to the beginning of the event. For technical reasons, it is not possible to publish any changes after this date online. No guarantee is assumed for programme changes and the postponement of events.

6. Exclusion of liability for printed materials

There is also no entitlement to compensation in the event of errors in printed materials or on the congress’s website or should publication not take place or be incomplete.

 

VI. Data recording

1. General information

By registering for the 31st International Congress of German Ophthalmic Surgeons, the participant also declares his consent to the collection and storage of his personal data in the congress' data bank. MCN will use this data in order to ensure that the participant receives the services ordered.

Information on cancellation of online registrations

Consumers’ right of cancellation

The following applies should the participant be a consumer within the meaning of § 13 of the German Civil Code:

Right of cancellation

You are entitled to cancel this contract within 14 days without providing any reasons. The cancellation period is 14 days from the day the contract is concluded. In order to exercise your cancellation right, you must inform us

by way of an unambiguous declaration (e.g. by letter sent by post, fax or e-mail) of your decision to cancel this contract.

In order to safeguard the cancellation, it is sufficient that you inform us of your decision to exercise the right to cancel before the expiry of the cancellation deadline.

Consequences of cancellation

Should you cancel this cancel this contract, we are required to refund all payments that we have received from you, including the delivery costs, immediately and within 14 days of the date on which we received notice of your cancellation of this contract. We will use the same means of payment for this refund as you used for the original cancellation, unless anything different was expressly agreed with you; under no circumstances will you be charged any fee for this refund. Should you have demanded that the services begin during the cancellation period, you will be required to pay us an appropriate amount equal to the share of services already provided up to the time you informed us of the exercise of the right to cancel in comparison with the total amount of services foreseen in the contract.
